Giving season works best as one story. Donors who feel that story building, from the first appeal to the January welcome, are more likely to feel known.
But Giving Tuesday, Grateful Wednesday, December appeals, and January follow-up often get planned separately, by different people, in different weeks. Here’s how to connect them in four stages, using the same framework as our Giving Season Campaign Planner: Plan, Engage, Steward, and Sustain.
Plan: October and November
Choose one primary goal for the campaign, then decide who matters most and what you want each group to do. Use giving history, interests, and recent engagement to prioritize, not just capacity alone.
DonorSearch by EverTrue can help here. Its national models for acquisition, retention, and upgrade show who may give a first gift, which new donors might lapse, and who could give more. Then decide who owns each deliverable and work backward from Giving Tuesday and December 31.
Engage: Giving Tuesday through December 31
Give each channel a job. Email carries appeals, stories, and updates. Direct mail provides early awareness and a tangible reminder, and Pledgemine by EverTrue can personalize that mail beyond the name. Personal video from ThankView by EverTrue carries appeals, impact stories, and gratitude. Personal outreach goes to your priority donors.
Let the story move forward. A December message should advance the story, not repeat Giving Tuesday. Plan a different path for donors and non-donors, and bring everything together in the last week of December around one clear deadline.
West Chester University Foundation simplified its calendar year-end appeal after moving from broad lists to donor segmentation. The result was an additional $80,000 compared with the year before.
Steward: Within 24 to 48 hours
Decide before gifts arrive who gets thanked, by whom, and how fast. Giving Tuesday gave generosity a day. We gave gratitude one too: Grateful Wednesday, a day EverTrue coined because saying thank you matters as much as the ask.
A good thank-you says what you’re thanking the donor for, what their support makes possible, why their participation matters, and what happens next. ThankView by EverTrue lets a lean team send that message as personal video.
Sustain: Late December Through mid-January
The first thank-you should begin the next stage of the relationship, not end it. Welcome new donors, share results and impact, and invite people to stay involved without another immediate ask.
SAIT spent January saying thank you instead of asking, with video emails from ThankView by EverTrue, student thank-you cards, and a gratitude wall. Its video completion rates consistently topped 80%.
Finish by reviewing what to repeat next year and what to change.
One story, from the first appeal to the last thank-you
Generosity doesn’t realize itself. It takes a plan that keeps going after the gift. Every donor you thank by name in January is a reason they give again next December.
